Fakturownia is a Polish platform widely used by businesses for comprehensive invoice management. A significant segment of these businesses leverages Shopify for their online sales operations.

This dual reliance, however, presented a burdensome challenge: the manual, time-consuming, and error-prone process of generating invoices for every online transaction. 

There was a pressing need for an automated bridge between Shopify's sales environment and Fakturownia's invoicing requirements.

Recognizing this critical operational gap, we stepped forward to address it. 

Our objective was to engineer a solution that would eliminate the inefficiencies inherent in manual invoicing and empower businesses to concentrate on their core growth strategies. 

This initiative led to the development of the Fakturownia Shopify application, designed to transform the invoicing workflow for entrepreneurs.

The Challenge

Before our intervention, businesses operating on Shopify and relying on Fakturownia for their financial documentation faced significant operational hurdles:

#01 Manual, Time-Consuming Invoice Generation

Every order placed on a Shopify store necessitated a separate, manual process to create an invoice in Fakturownia. This was not only tedious but also a considerable drain on valuable time, diverting resources that could have been allocated to sales, marketing, or product development.

#02 High Risk of Errors

Manual data entry is inherently susceptible to human error. Incorrect customer details, product quantities, pricing, or payment statuses could lead to discrepancies in financial records, requiring reconciliation and potentially impacting customer satisfaction.

#03 Lack of Real-time Synchronization

There was no automated mechanism to link Shopify order data directly with Fakturownia. This meant that changes in order status or payment receipt on Shopify had to be manually updated in Fakturownia, resulting in outdated information and inefficiencies in the accounting processes.

#04 Distraction from Core Business Growth

The sheer volume of administrative tasks associated with invoicing effectively siphoned focus and energy away from strategic business development. Entrepreneurs found themselves entangled in formalities rather than concentrating on scaling their operations or innovating their offerings.

This fragmented workflow created a significant bottleneck, particularly for growing businesses with increasing order volumes. The clear imperative was to develop a solution that could bridge this gap, automating the invoicing process and liberating businesses from these manual tasks.

The Solution

Launched on January 31, 2025, Fakturownia by Netkodo provides a comprehensive invoicing solution that enables Shopify merchants to automate their back-office operations, thereby significantly enhancing efficiency and accuracy.

Key aspects of the implemented solution include:

#01 Automated Invoice and Receipt Generation

At the core, there's the ability to automatically generate invoices and receipts directly from Shopify orders. This eliminates the need for manual document issuance, saving significant time and reducing the potential for human error.

#02 Real-time Payment Status Synchronization

The app ensures financial accuracy by automatically synchronizing payment statuses between Shopify and Fakturownia. This ensures that accounting records are always up-to-date, accurately reflecting the latest order and payment information without requiring manual intervention.

#03 Automatic Order Data Transfer

All essential order data, including customer details (name, email, phone, address, geolocation, IP address, and browser/OS) and product information, is automatically transferred to Fakturownia. This ensures that every invoice is populated with precise and complete information derived directly from the Shopify order.

#04 Smooth Checkout Integration

To enhance the customer experience and streamline the invoicing request process, we integrated a convenient "Do you want an invoice?" checkbox directly into the Shopify checkout flow. This allows customers to easily request an invoice at the point of purchase.

#05 Native Shopify Compatibility

The application was built with native integration for Shopify Checkout, ensuring a smooth user experience and efficient data flow within the Shopify ecosystem. This design choice guarantees high compatibility and reliability for Shopify store owners.

#06 Secure Data Handling

Developed with a focus on data security and privacy, the app securely accesses the necessary customer, product, and order data (including draft orders and all order details for the last 60 days) required for its operation, adhering to Shopify's strict guidelines.
